Supplier price update checklist
A practical review sequence for the moment a supplier sends an updated price list—before a cost change reaches your selling price or purchase decision.
Compare old and new price listsReview an updated supplier price list in order
- Keep the previous supplier list unchanged, then record which new file, sheet, version and effective date you received.
- Confirm the SKU or item identifier is stable enough to match the two lists; set aside duplicates or ambiguous identifiers for review.
- Check the currency, unit and pack size before accepting a numeric difference as a price change.
- Compare the previous and updated CSV or XLSX lists by SKU, rather than by row order or a copied description.
- Review increases and decreases separately, using both percentage and amount where a valid old and new cost exists.
- Review new items and removed or discontinued items as catalogue changes, not as zero-price changes.
- Resolve missing prices and other exception rows before using them in a pricing decision.
- Map selling price where available to see margin at risk and a target selling price; otherwise keep the cost review separate.
- Export the reviewed result for the buying or pricing discussion, then save history when you need to retain the comparison.
A small review example
If SKU-104 moves from $12.00 to $14.40, it is an increase worth reviewing. A newly listed SKU has no old cost, and a removed SKU has no new cost; neither should be reported as a percentage increase. If the supplier changed from a box to a piece price, or changed currency, the row needs review before it can support a margin decision.
What this checklist is—and is not
This is an operational process for comparing two versions of one supplier's CSV or XLSX price list. CostRift can surface increases, decreases, new and removed items, review states, margin impact and target selling price where the necessary data is mapped. It does not sync an ERP, import purchase orders or invoices, extract PDFs, notify suppliers, run approvals, or assess contract compliance. For the underlying workflow, see supplier price list comparison, a supplier price change report, and tracking supplier price changes over time. For a single cost increase, use supplier price increase guidance or the margin impact calculator.
Review the two files before you update anything
Upload the previous and current supplier list, confirm the SKU and cost columns, and export the resulting review.
