Free comparative statement of quotations format (Excel)
Tabulate quotations from up to 3 suppliers for the same items, with the lowest-rate and extended-cost formulas already built in. Download it, add your items — the rest calculates itself.
Download the template (.xlsx)What's in the template
- Item No., Item Code, Description, Quantity, Unit
- Supplier A/B/C Unit Rate
- Lowest Comparable Rate, and which supplier quoted it
- Extended Cost per supplier (rate × quantity), where a rate exists
- Potential Saving and Notes
How to use the template
- Download the file and open it in Excel, Google Sheets, or any program that reads .xlsx.
- Replace the 8 example rows with your own items.
- Enter each supplier's quoted unit rate. Leave a cell blank if a supplier didn't quote that item — never enter 0.
- Enter the quantity required per item.
- Lowest Comparable Rate, Selected Supplier, Extended Cost, and Potential Saving calculate automatically. Copy the formulas down for any rows you add.
What the template doesn't do
- No weighted scoring of quality, lead time, or certification — unit rate only.
- No landed cost — freight, duties, and taxes aren't included.
- No automatic currency or unit conversion — all rates must already be in the same currency and unit before comparing.
- Does not generate or certify a government-compliant tender document; check your own department's exact format and approval requirements separately.
CostRift automates the same comparison
CostRift's Supplier Comparison uses the same lowest-rate logic as this template, without formulas or the 3-supplier limit — how many suppliers you can compare at once depends on your plan, not a fixed number in a spreadsheet. Add a quotation file per supplier — CSV or XLSX, columns mapped independently so names don't need to match — and CostRift matches items by code, flags the lowest usable rate per item, and marks ties, single-offer items, and currency or unit mismatches for you to review, rather than guessing. Files are read and compared in your browser and are not sent to CostRift servers to run the comparison.
Frequently asked questions
Is this template really free, with no signup?
Yes. The file downloads directly from this page — there's no form or email request.
Does it work in both Excel and Google Sheets?
It's a standard .xlsx file, native to Excel and readable directly in Google Sheets (upload it, or use File > Open with Google Sheets).
What happens if two suppliers quote the exact same rate?
The Selected Supplier formula picks whichever supplier's column it finds the matching rate in first — an exact tie isn't flagged separately in the spreadsheet. CostRift's online comparison does flag an exact tie explicitly.
Can I add a fourth or fifth supplier?
Yes — add a column for each extra supplier's rate, and extend the Lowest Comparable Rate and Selected Supplier formulas' ranges to include the new column. The template doesn't do this automatically past 3 suppliers.
Want to see the automatic comparison before using the template? See comparative statement of quotations.
Outgrown the template?
Add each supplier's quotation and see the lowest comparable rate per item, no formulas required.
