Compare Supplier Quotations and Build a Comparative Statement
Already have quotations from more than one vendor for the same purchase? Add each one and CostRift lines them up item by item — the lowest comparable rate, ties, and any vendor that didn't quote an item. CostRift doesn't request quotations or invite vendors — it compares the quotations you already have.
What is a comparative statement of quotations?
A comparative statement of quotations lines up the rates quoted by each vendor for the same list of items, side by side, so the lowest comparable rate per item — and the vendor offering it — is easy to see at a glance. It's a format widely used by departments, public institutions, and purchase committees when tabulating quotations received from multiple vendors for the same purchase, alongside the broader purchase-committee procedures many organizations already follow.
CostRift builds the same kind of comparison from the files you already have — it doesn't certify or approve the result for any specific department's or tender's requirements; see what CostRift doesn't do.
What a comparative statement usually contains
- Item number, item code/description, and quantity required
- Unit of measure
- Each supplier's quoted unit rate
- Lowest comparable rate, and which supplier quoted it
- Extended cost (rate × quantity) per supplier, where quantities are known
- Remarks — missing quotes, unit mismatches, or anything needing a manual decision
How to compare multiple quotations
- Gather the quotations you've already received — as files, or entered into a spreadsheet if they arrived by email or on paper.
- List every item with a consistent item code or description, so the same item can be recognized across each supplier's quotation.
- Record each supplier's quoted rate for every item, leaving it blank — not zero — for any item a supplier didn't quote.
- Identify the lowest comparable rate per item, and flag anything that isn't directly comparable: a different unit, a different currency, or only one supplier having quoted it at all.
- Total the extended cost once quantities are known, so the comparison reflects the actual purchase, not just unit rates.
Example comparative statement
Fictional example — three vendors (A, B, C) quoting on the same three stationery items. Vendor C didn't quote item 3, and items 1-2 show a clear winner or a tie rather than a guess.
| Item No. | Description | Qty | Unit | Vendor A | Vendor B | Vendor C | Lowest |
|---|---|---|---|---|---|---|---|
| 1 | A4 Paper Ream | 50 | Ream | ₹210 | ₹205 | ₹215 | ₹205 (B) |
| 2 | Ballpoint Pen (Box of 10) | 100 | Box | ₹85 | ₹85 | ₹90 | ₹85 (Tied A/B) |
| 3 | Stapler, Standard | 20 | Piece | ₹140 | — | ₹150 | ₹140 (A) |
Excel vs. an online comparison
A spreadsheet works well for a short item list and a handful of vendors — see the free Excel template for exactly that. It gets harder to maintain once the item list runs into the hundreds, more vendors need comparing at once, the same comparison has to be rebuilt for every new round of quotations, or vendors' files use different item codes and column layouts that need reconciling by hand each time. CostRift does the same matching and comparison automatically, at any list size, without rebuilding formulas.
Common issues when comparing quotations
- Missing quote
- A vendor didn't quote an item at all. CostRift leaves it blank and excludes that vendor from the comparison for that item — it never treats a missing quote as zero.
- Inconsistent item codes
- Vendors use different internal codes for the same item. CostRift matches on the identifier column you map, exact or normalized — it doesn't guess a match from a similar-sounding description.
- Different units
- One vendor quotes per piece, another per box or per dozen. CostRift flags the mismatch instead of silently comparing incompatible rates.
- Currency differences
- Vendors quote in different currencies. CostRift does not convert currencies — the item is flagged for manual review rather than shown with a false winner.
- Incomplete vendor coverage
- Not every vendor quotes every item. CostRift shows exactly how much of your item list each vendor actually covers, not just a single blended total.
What CostRift doesn't do
CostRift compares the quotation files you provide. It does not:
- Send requests for quotation or invite vendors
- Collect quotations from vendors on your behalf
- Read PDF, scanned, emailed, or photographed quotations
- Integrate with an ERP or government procurement system
- Generate or certify a government-compliant tender document
- Create purchase orders
- Score vendors on quality, lead time, or certification
- Convert currencies or units of measure automatically
Frequently asked questions
Does CostRift request quotations from vendors for me?
No. CostRift does not send requests for quotation, invite vendors, or collect quotations on your behalf. You bring the quotations you've already received, in CSV or XLSX, and CostRift compares them.
Is a comparative statement built this way compliant with GFR 2017 or acceptable for a government tender?
CostRift is not a government procurement system and doesn't certify, approve, or guarantee that its output satisfies any specific department's GFR, tender, or audit requirement. The comparative statement format is a widely used convention for tabulating quotations — check your own department's or organization's exact format and approval requirements separately.
How does CostRift decide the lowest rate per item?
For each item, CostRift compares the unit rate quoted by every vendor with a usable price for it and marks the lowest as the winner. If two or more vendors quote the exact same lowest rate, the item is marked tied rather than assigning a winner arbitrarily.
Can I compare more than three vendors?
Yes. Supplier Comparison accepts quotations from multiple vendors at once — how many depends on your plan, not a fixed number.
Does CostRift read PDF or scanned quotations?
No. CostRift compares structured CSV or XLSX files only. A quotation that arrived as a PDF, email, or photo needs to be entered into a spreadsheet first.
Do I need an account to build a comparison?
No. Comparing quotations needs no account. If you sign in, you can save a vendor's quotation to history and reuse it in a later comparison instead of uploading the same file again.
Are my files uploaded anywhere?
No. Your CSV and XLSX files are read and compared in your browser. They are not sent to CostRift servers to run the comparison.
